Privacy statement recruitment and selection

During the course of the day-to-day operations of NWB Bank, personal data is processed by and on behalf of the bank. We that it is important that your privacy is respected. When processing your personal data, we comply with laws and regulations, including the General Data Protection Regulation ("GDPR").

In this privacy statement, NWB Bank explains how we handle your personal data that we process as part of our our recruitment and selection process.

How does NWB Bank process your personal data?

Personal data includes all data relating to an identified or identifiable natural person, such as first and last name and email address.

By processing we mean everything that NWB Bank does with your personal data in the recruitment and selection process, for example storing, viewing and deleting it.

NWB Bank is committed to processing your personal data in accordance with the law. The bank will not process more personal data than necessary and your data will not be kept longer than is necessary for the purposes for which it was collected or is being processed. NWB Bank has determined appropriate retention periods for the various personal data processing operations. After this period has expired, your personal data will be deleted. NWB Bank also ensures that your personal data is correct and updated where necessary. NWB Bank takes appropriate technical and organizational measures to protect your personal data and ensures that your data is treated confidentially.

How does NWB Bank collect your personal data?

NWB Bank processes your personal data in our recruitment and selection process when you apply for a position at NWB Bank.

As part of the process, we may ask you to provide information. We may collect your information through our recruitment system, through email or other channels you choose to use.

What personal data does NWB Bank process about you?

In our recruitment and selection procedure, we may process the following personal data:

  • Name
  • Contact details
  • Central heating
  • Employment history
  • Study history
  • Motivation letter

In some cases, we also process the following data:

  • A photo (if you choose to send it)
  • Salary indication
  • Copies of diplomas

Why and on what basis does NWB Bank process your personal data?

In order to be able to process your personal data, NWB Bank must have a legal basis in the GDPR and a purpose for the processing.

The processing in the context of the recruitment and selection procedure is based on the following principles:

  • We have a legal obligation to process personal data;
  • We process personal data to enter into an employment contract;
  • You consent to the processing of your personal data;
  • NWB Bank has a legitimate interest in processing your personal data.

NWB Bank processes your personal data for the following purposes, among others. If your personal data has been provided for one purpose, this data will not be used for another purpose.

1. Recruitment and selection

We process your personal data for the purpose of assessing your suitability for a position at NWB Bank. In addition, we need your personal data to contact you and to be able to make you an offer for an employment contract.

2. Visit to our office

If you visit the NWB Bank office, your first and last name will be stored in a digital registration system of a third party and in the bank's system. In addition, we monitor the entrance by camera. We process this data to secure NWB Bank and to have an overview of the people who are in the building in the event of a business evacuation. Your personal data will be deleted six months after your visit.

3. Comply with legal obligations

NWB Bank is sometimes legally obliged to provide your personal data to the government, for example at the request of a supervisory authority.

How long does NWB Bank keep your personal data?

An applicant's personal data will be stored for six months or longer if the application process is still ongoing, unless you have given permission for your personal data to be stored for a longer period. In that case, NWB Bank will retain your personal data for one year after the end of the application procedure. You can withdraw your consent at any time by clicking on the 'request to be removed' link at the bottom of the consent email.

With whom does NWB Bank share your personal data?

The following persons and/or organizations may receive your personal data:

1. Persons employed by NWB Bank

Persons employed by NWB Bank may process your personal data for the purposes described above, among others. NWB Bank ensures that your personal data is treated confidentially and carefully at all times.

2. (Sub)processors

In certain personal data processing operations, other organizations process personal data on behalf of NWB Bank, such as an ICT supplier. We enter into a processing agreement with these organizations in which we make agreements about, among other things, the security and confidential treatment of your personal data.  

3. Government

In some situations, NWB Bank is required by law to provide your personal data to the government.

International transfers

NWB Bank your personal data as part of the recruitment and selection procedure is processed within the European Economic Area. Your data will not be transferred to countries outside the European Economic Area.

Security

NWB Bank takes appropriate and organisational measures to secure your personal data, such as the use of secure connections and security agreements with our suppliers. The bank's employees and external employees can only access the information they need to carry out their work.

Privacy rights

You have the following rights with regard to the processing of your personal data by NWB Bank:

  • the right to request whether NWB Bank processes your personal data and, if so, access to your personal data and certain information about the processing of your personal data;
  • the right to rectification of your personal data if it is inaccurate or incomplete;
  • the right to have your personal data erased ('right to be forgotten');
  • the right to object to the processing of your personal data or to restrict the processing of your personal data;
  • the right to withdraw consent to the processing of your personal data, if the processing is based on your consent;
  • the right to receive or transfer your personal data to a third party designated by you in a structured, commonly used and machine-readable format ("right to data portability").

NWB Bank does not use automated decision-making (including profiling) within the meaning of Article 22 of the GDPR.

To prevent NWB Bank from providing information to the wrong person, we may ask you for additional information to verify your identity.

NWB Bank will inform you of whether it can comply with your request, within one month after receipt thereof. In specific cases, for example when it concerns a complex request, this term may be extended by two months. NWB Bank will inform you of such an extension within one month after receiving your request. On the basis of the applicable privacy legislation, NWB Bank can refuse your request under certain circumstances. If this is the case, NWB Bank will explain to you why.  More information about your privacy rights can be found on the website of the Dutch Data Protection Authority.

Changes to the privacy statement

NWB Bank may change this privacy statement from time to time. The most recent version of this privacy statement will always be posted on this website. If substantial amendments are made that could have a significant impact on one or more of the data subjects involved, NWB Bank will try to inform these data subjects of this directly.

If you have a complaint about the processing of your personal data by NWB Bank, please contact your contact person at the bank or the privacy officer via privacy@nwbbank.com.

You may also file a complaint with the Dutch Data Protection Authority. More information about this can be found on the website of the Dutch Data Protection Authority.
